Will it work with my practice's software?
Yes. VetNotes integrates with all major veterinary PIMS platforms, including RxWorks, EzyVet, OpenVPMS, Ascend, VisionVPM, Teleos, Merlin, and others. Approved clinical notes sync directly into your practice management system.

How accurate is VetNotes?
VetNotes is purpose-built for veterinary medicine. It is built by practising vets and understands veterinary-specific terminology, drug names, doses, and consult workflows — so drafts reflect how you actually practise.
Does VetNotes catch missed billable items?
Yes. VetNotes analyses consultation audio for vaccines, consumables, procedures, and other billable items discussed in the room — helping reduce missed charges.
Is VetNotes easy for staff to learn?
Yes. VetNotes is designed to be simple to use with minimal training. Most clinics are recording and reviewing drafts within their first session, and complimentary staff training is included on clinic plans.
Does VetNotes support custom templates?
Yes. VetNotes includes pre-loaded templates for common consult types, and you can customise templates to match how your practice documents. Our in-house vet team can also help tailor templates to your workflow.

How is the integration set up?
Integration setup involves a small amount of coordination between VetNotes and the PMS company. Our friendly support team will assist you through the process.

Pricing

Is there a lock-in contract?
No. VetNotes is billed monthly or annually and you can cancel anytime. Solo, Regular Clinic, and Large Clinic plans all include no lock-in contract.
Is there a setup fee?
No. There are no setup or installation fees.
Will you help train my staff?
Yes. Complimentary staff training is included on clinic plans so your team can get productive quickly.
Can I save by paying yearly?
Yes. Choose yearly billing to save 10% compared to paying monthly on Solo, Regular Clinic, and Large Clinic plans.
Do some PMS integrations cost extra?
Yes — integrations with RxWorks, Ascend, VisionVPM, Teleos, and Merlin incur an additional monthly fee. See support.vetnotes.com for specifics.
What defines a clinic?
A clinic is a physical premises or location. VetNotes licensing is tied to each premises where you practise.
Can I have two clinics under one clinic license?
No. VetNotes is billed per clinic — per physical premises or location. Each site needs its own license.
Is VetNotes pricing user-based?
VetNotes is billed per clinic, that is, each physical location. There are no extra fees for additional logins.

Privacy & security

Is my data secure?
Yes. VetNotes is built with privacy in mind and is highly secure — configurable data regions, encryption in transit and at rest, and strict access controls. See our compliance page for full details.
Is VetNotes safe for veterinary practices?
Yes. VetNotes is built for clinical workflows with configurable data regions, bank-grade encryption, logical database separation, and role-based access controls. Every note requires veterinarian review before it enters the patient record.
Where is consultation audio stored?
Consultation audio is stored in your chosen region — Sydney (Australia) or London (UK) — which you configure in settings. Audio remains until you delete it or your automatic deletion schedule runs.
Where is my practice data stored?
VetNotes runs on ISO 27001-certified cloud infrastructure on Google Cloud Platform and AWS. You choose where consultation audio is stored — Sydney or London. Data is encrypted in transit and at rest, with strict access controls.
How long is my data kept?
You control retention. Delete recordings, transcripts, and notes at any time — permanently and irreversibly. You can also configure automatic deletion on a schedule that suits your practice.
Who can access my data?
Only authorised users within your practice can access data associated with your account, governed by role-based permissions. Each account's data is logically separated in the database, and every query is validated against security policies.
Does VetNotes use my data to train AI models?
No. Your data is never used to train external AI models. VetNotes uses proprietary processing, and third-party processors handle transcription and note generation under agreements that prohibit data retention and model training after each task completes.
Who owns the clinical notes VetNotes helps create?
You and your organisation retain full ownership. VetNotes is a documentation tool; clinical responsibility and sign-off remain with the treating veterinarian.
How is data encrypted?
We use strong encryption for data in transit (TLS) and at rest, with strict access controls and role-based permissions for practice staff.
Can we review or export our data?
Yes. Practices can access their data within the product and request export or deletion in line with our privacy policy.
How does VetNotes support clinical accountability?
VetNotes drafts documentation for your review. Every note should be checked, edited and approved by the responsible veterinarian before it becomes part of the clinical record.

How does rollout work?
We run a phased rollout — discovery, pilot, go-live, and refinement — so each clinic launches with templates and training suited to how that practice already documents. Your dedicated contact coordinates timing across sites.
What does enterprise support include?
Enterprise groups get structured onboarding, template setup with practising vets on our team, rollout coaching per clinic, and ongoing help as you expand — not a generic support queue.
Can we standardise templates across the group?
Yes. You can align note formats group-wide while allowing clinic-level tweaks. Our team helps match templates to how your hospitals and general practices already document.
How is enterprise pricing worked out?
Enterprise plans are typically quoted per clinic, based on your group's size and rollout scope — with usage analytics and reporting included. Contact us for a tailored quote.
Is there admin and reporting for enterprise?
Yes. Enterprise groups get usage dashboards showing recordings, notes generated, and adoption per clinic or site; visibility across rollout progress; and custom reports on request.
